South African job-application guide

How to Write a Cover Letter for a Job in South Africa

Learn how to introduce yourself professionally, connect your skills to the vacancy and write a focused cover letter that supports your CV.

A cover letter is a short professional document that introduces your application and explains why your qualifications, experience and skills are relevant to the advertised position.

Your CV provides the detailed record of your background. The cover letter helps the employer understand why that background makes you a suitable candidate.

Cover Letter Quick Facts

Recommended length Approximately one page
Paragraphs Three to five focused paragraphs
Main purpose Connect your experience to the vacancy
Best approach Tailor every letter to the job
Tone Professional, clear and confident
File format PDF unless otherwise requested

What Is a Cover Letter?

A cover letter is submitted with your CV to explain:

  • Which vacancy you are applying for.
  • Where you found the advertisement.
  • Why you are interested in the opportunity.
  • How your qualifications match the position.
  • How your experience can benefit the employer.
  • Why you would like to be considered for an interview.

It should not simply repeat every detail contained in your CV.

When Should You Include a Cover Letter?

Include one when:

  • The vacancy advertisement requests it.
  • The application portal provides a cover-letter field.
  • You are applying directly by email.
  • You need to explain a career change.
  • You need to explain why your experience is transferable.
  • You want to show strong interest in the organisation.

Do not attach one where the employer specifically instructs applicants not to submit additional documents.

Correct Cover Letter Structure

  1. 1

    Your contact details

Include your name, telephone number, professional email address, city and province.

  2. 2

    Date

Add the date on which you are submitting the application.

  3. 3

    Employer details

Add the hiring manager’s name, company or department and address where available.

  4. 4

    Professional greeting

Address the hiring manager directly where the name is known.

  5. 5

    Opening paragraph

State the job title and briefly explain your suitability.

  6. 6

    Evidence paragraph

Connect your experience, achievements and skills to the vacancy requirements.

  7. 7

    Employer connection

Explain why the organisation or role interests you.

  8. 8

    Professional closing

Thank the employer, express interview interest and sign off professionally.

1. Add Your Contact Details

Include:

  • Full name and surname.
  • Mobile number.
  • Professional email address.
  • City or town.
  • Province.
  • LinkedIn profile where relevant.

Example

Thando Dlamini

082 123 4567
thando.dlamini@email.co.za

2. Address the Employer Professionally

Use the person’s name where possible:

Dear Ms Ndlovu,

Where the name is unavailable, use:

Dear Hiring Manager,

Avoid overly vague or informal greetings such as:

  • Hi there.
  • Hello boss.
  • To whoever is reading this.
  • Dear Sir/Madam, where a name is clearly available.

3. Write a Strong Opening Paragraph

The opening should identify the position and provide a clear reason for considering your application.

Experienced applicant example

I am writing to apply for the Marketing Coordinator position at Brightwave Marketing. With more than four years of experience in digital marketing, content creation and campaign management, I am confident in my ability to support your marketing team and contribute to measurable campaign results.

Entry-level example

I am applying for the Graduate Administrative Internship advertised on your careers website. I recently completed a Bachelor of Public Administration and have developed strong research, report-writing, Microsoft Office and organisational skills through my academic projects and volunteer experience.

4. Connect Your Experience to the Vacancy

Focus on the employer’s requirements rather than describing your entire work history.

Select two or three strong examples from your:

  • Employment history.
  • Academic projects.
  • Volunteer work.
  • Learnership or internship.
  • Professional training.
  • Relevant achievements.

Example

In my current role at Creative Spark, I coordinate integrated campaigns across several platforms, manage social-media content and analyse performance data to improve engagement. I have contributed to campaigns that increased brand visibility and generated qualified customer leads.

Show evidence

Replace claims such as “I am the best candidate” with evidence showing what you have done and how it relates to the vacancy.

5. Explain Why the Employer Interests You

Show that the letter was written for the specific organisation.

You may refer to:

  • The organisation’s services.
  • Its values or public mission.
  • The advertised department.
  • The professional-development opportunity.
  • The type of work performed by the team.

I am particularly interested in joining Brightwave Marketing because of its focus on innovative, customer-centred campaigns. The opportunity would allow me to apply my digital-marketing experience within a collaborative and results-focused team.

6. Close the Letter Professionally

Your final paragraph should:

  • Thank the employer.
  • Confirm your continued interest.
  • Refer to your attached CV.
  • Express willingness to attend an interview.

Thank you for considering my application. I have attached my CV for your review and would welcome the opportunity to discuss how my experience and skills align with the requirements of the position.

Common Cover Letter Mistakes and Solutions

The image below highlights common problems that can weaken a job application.

Cover letter mistakes example with corrections and solutions
Common cover-letter mistakes, including vague wording, long paragraphs, poor targeting and weak closing statements.
Mistake

Unprofessional email address

An informal email address can create a negative first impression.

Solution

Use your real name

Create a professional account such as sipho.mthembu@email.com.

Mistake

Vague greeting

“To whom it may concern” can feel generic where the hiring manager’s name is available.

Solution

Address the recruiter directly

Use the hiring manager’s name, or “Dear Hiring Manager” where the name is unknown.

Mistake

No job title or employer name

A letter referring only to “the job” appears untailored.

Solution

Name the exact position

Mention the advertised job title, employer and where the vacancy was found.

Mistake

Long paragraphs

Large blocks of text are difficult to scan and may hide important information.

Solution

Keep paragraphs focused

Use approximately three to five short paragraphs, each with one clear purpose.

Mistake

Generic claims

Statements such as “I am hardworking” do not prove suitability.

Solution

Provide evidence

Describe relevant work, projects, achievements or practical skills.

Mistake

Weak connection to the employer

A letter focused only on what the applicant wants may not explain the value offered.

Solution

Explain your contribution

Show how your experience can help the employer solve problems or achieve its goals.

Mistake

Spelling and grammar errors

Errors can make the application appear rushed or careless.

Solution

Proofread carefully

Check the employer name, job title, punctuation, spelling and contact details.

Mistake

Poor closing statement

“Thanks for reading my letter” may sound too casual.

Solution

Close professionally

Thank the employer, refer to your CV and express interest in an interview.
